About this policy

This policy explains how we handle personal information when you visit our website, contact us, make a booking, stay with us or register for our Loyalty Club.

Information we collect and why

We collect information reasonably necessary for our business activities. Depending on your dealings with us, this may include:

  • Your name, email address, telephone number and billing details, to respond to enquiries and communicate with you.
  • Booking dates, guest numbers, room preferences, special requests and relevant correspondence, to arrange and provide your accommodation.
  • Payment and transaction information, to administer payments, refunds and accounts. Please do not send payment-card details through our enquiry form or ordinary email.
  • Loyalty Club registration details and relevant booking or reward records, to administer your membership.
  • Information about complaints or incidents, to resolve concerns and protect guests, staff and property.
  • Technical information, such as your IP address, browser, device and website activity, to operate and secure the website and diagnose problems.

Where children’s ages or other details are needed to arrange a family stay, please provide only what we request. If you share accessibility requirements or other sensitive information, we use it to respond to your request and arrange appropriate assistance.

You can choose not to provide personal information. However, without information needed for a particular service, we may be unable to respond to your enquiry, confirm your booking or administer your membership. We will explain any mandatory information requirements when collecting it.

How we collect information

We usually collect information directly from you through bookings, forms, email, telephone conversations and your dealings with us during your stay.

We may also receive booking information from a booking service, travel agent, employer or another person arranging accommodation for you, where permitted by law. Where required, we will take reasonable steps to tell you that we have collected your information, why we collected it, who will receive it, and how you can access or correct it.

If you arrange a stay for someone else, please ensure you are authorised to provide their details and share this policy with them. This does not replace our own obligations to inform them.

Bookings and service providers

Our website embeds the IBEX online booking service at book.ibexres.com. Information entered into that service is processed through the booking system to handle your reservation. Review any privacy information provided in the booking process.

We may share relevant information with providers who help us deliver accommodation and operate our business, including booking-system, payment, website-hosting, IT-support and email providers. We limit the information shared to what is needed for the relevant purpose.

We may also disclose information to professional advisers or public authorities where authorised or required by law. We do not otherwise use or disclose your information for unrelated purposes unless you authorise this or the law permits it.

Website services and cookies

Our website uses embedded Google Maps and externally hosted Google Fonts. Loading these services can send technical information, such as your IP address and browser information, to Google. Google handles information it receives under its Privacy Policy.

Our website and embedded booking services may use cookies or similar technologies to support their functions. You can control cookies through your browser settings, although blocking them may affect some features.

Marketing communications

If we send promotional emails or text messages, we will do so with the consent required by law and provide a way to unsubscribe. You can also contact us to withdraw your marketing consent. Unsubscribing from promotions does not stop necessary messages about a booking or service you have requested.

Overseas handling

Some service providers may store or process information outside New Zealand. When a provider processes information only on our behalf, we remain responsible for taking reasonable steps to protect it.

If we disclose personal information to an overseas recipient for its own use, we will comply with the overseas-disclosure requirements of the Privacy Act 2020, including ensuring comparable safeguards or another lawful basis for the disclosure.

Security and retention

We take reasonable steps to protect personal information against loss, misuse and unauthorised access, modification or disclosure. Access is limited to people who need it for their work. No electronic system is completely secure.

We keep personal information only for as long as needed for the purposes for which it may lawfully be used, including managing bookings, maintaining required financial records and resolving disputes. When no longer needed, it is securely deleted or anonymised.

Access, correction and complaints

You can ask for access to your personal information and request corrections by contacting our Privacy Officer below. We may need to verify your identity. We will respond as soon as reasonably practicable and within the timeframes required by the Privacy Act, usually within 20 working days. If a lawful extension is needed, we will tell you.

If we decline a correction, you can ask us to attach a statement of the correction you requested to the information. If we refuse access or a correction, we will explain our decision and your complaint options as required by law.

Please contact us if you have a privacy concern. You can also complain to the Office of the Privacy Commissioner.
